The Role

We are looking for an Office Operations Specialist to manage and elevate the day-to-day operations of our Ho Chi Minh office. 

You will take ownership of office operations, vendor coordination, facilities management, and employee experience initiatives, ensuring the office runs smoothly and supports productivity across teams.

This role is ideal for someone who enjoys creating great workplace environments, anticipating team needs, and taking pride in keeping operations running seamlessly.

For candidates interested in developing a broader career in people operations within a technology company, this role may also provide opportunities to gain exposure to HR processes and initiatives, depending on individual interest and aptitude. While the primary focus of the role is office operations and workplace management, motivated individuals may have the opportunity to support selected HR initiatives and learn about HR practices in a growing tech environment.

What You’ll Do

  • Office Administration & Workplace Environment

    • Manage daily office operations to ensure a smooth, organized, and productive workplace.

    • Maintain office facilities, equipment, meeting rooms, and shared resources.

    • Oversee an attractive, comfortable, and fully stocked office environment.

    • Coordinate maintenance, repairs, and office services to keep the workspace running efficiently..

  • Vendor & Service Coordination

    • Work with vendors providing office services (cleaning, security, internet, office supplies, etc.).

    • Coordinate service schedules and monitor vendor performance to ensure service quality.

  • Administrative Support

    • Prepare and maintain administrative documents, reports, and records.

    • Assist with travel arrangements, accommodation bookings, and logistics for employees or visitors.

    • Support internal meetings, company activities, logistics, travel arrangements, and visitor coordinations, celebrations, and company activities.

  • HR & Onboarding Support

    • Assist HR with onboarding logistics such as workspace setup, equipment access, and welcome materials.

    • Help ensure new hires have a smooth start.

    • Candidates interested in HR may have opportunities to support selected HR initiatives, though this is not a primary responsibility.

  • Employee Experience & Engagement

    • Coordinate employee meals, pantry supplies and team activities.

    • Support initiatives that improve employee experience and workplace culture.

Required Skills

  • 1–3 years of experience in office administration, workplace operations, or a similar role.

  • Strong organizational and multitasking skills.

  • Excellent communication and interpersonal skills.

  • Proactive, detail-oriented, and service-mindset.

  • Ability to coordinate effectively with internal teams and external vendors.

  • Ability to anticipate needs and solve operational issues efficiently.

  • Proficient in Google Workspace, Microsoft Office, and spreadsheets.

  • Ability to work independently as well as collaboratively in a fast-paced environment.

  • High level of discretion and confidentiality when handling sensitive information.

  • Working proficiency in English.
